Dear Camp / Conference Director: 

Thank you for choosing Samford University as your event site this summer! We are looking forward to your arrival. It is our upmost pleasure to provide your participants with tasty and nutrition meals as well as exemplary customer service while you are here with us. Featuring a wide variety of fresh food designed to satisfy everyone's appetite with food choices to rival your favorite restaurants. We are proud to offer an "All you care to Eat" dining program complete with signature brands, Mindful meals, Allergen Free Station and menu selections that include just about every item you can imagine.

Please read over the information about your event contract, billing procedures, meal times and other dining policies. Please fill out the summer camps and conferences meal registration form online at your earliest convenience.
As always, we are happy to provide any additional food services you may need outside the agreed upon meal periods. To schedule pizza parties, ice cream socials or just cookies and sodas for your participants please contact our catering department at 205.726.2979
If any of your participants have special needs please contact Dining Services at 205.470.5209 so we can make arrangements to meet their dietary requirements. We want to make this summer as enjoyable and fun filled as possible for both you and your participants!

In an effort to accommodate each camp below is a list of guidelines that will help ensure your camp/
conference planning is an easy as possible.

· Samford Dining must have a signed meal contract with guaranteed number of attendees seven (7) days prior to the first meal being served.

· If the guaranteed number of attendees increases prior to the first meal, Samford Dining should be notified at least twenty-four hours before meal service is scheduled to begin.

· If there are any dietary restrictions, Samford Dining must be notified before the first meal.

· Meal time schedules will be addressed prior to attendees first meal.

· Attendees will be swiped at the Caf  entrance for each meal. Variations in counts will be brought to the Camp Director’s attention  immediately.

· We reserve the right to assess damage charges to the camp upon final billing.

· Camps will receive an invoice by email with the counted numbers within three business days of the last meal served.

· A copy of university affiliated camps tax exemption certificate must be presented prior to invoicing.

· All camps/conferences that do not produce a tax exempt certificate will be subject to 10% tax upon final billing.

· All camps/conferences will be billed for 90% of the guaranteed number of conference attendees or meal swipes for each meal period (whichever is greater). 

 

· All camps/conferences must use a university Index Code to be eligible for these prices.  Anyone not using an Index Code will be charged the External Summer Meal Prices.

· Internal group conference meal prices are as followed: Breakfast $6.23, Lunch $7.57, Dinner $10.04

· Please keep in mind Bulldog Days June 3-4, 10-11, 17-18, 20-21

· Attendees will use provided passes with number of each group coming into the Caf or PHC with each leader and left with the cashier/Sodexo employee.

· We reserve the right to assess damage charges to the camp upon final billing.

· All camps/conferences will be billed for 90% of the guaranteed number of conference attendees or meal swipes for each meal period (whichever is greater). 

· All charges must be paid within 30 days of last meal served. Additional charges may apply after 31st day. 

· Lunch meals during the following Bulldog Day dates will be served at the Pete Hanna Center:  June 3-4, 10-11, 17-18, 20-21   Aug 22-23

· A copy of the group’s tax exemption certificate must be presented prior to the beginning of the camp.

· Sports camps conference meal prices are as followed: Breakfast $6.23, Lunch $7.57, Dinner $10.04 (plus 10% sales tax)

Breakfast: 7:00 a.m. - 9:30 a.m.

Lunch: 10:45 a.m. - 2:00 p.m.

Dinner: 5:00 p.m. -7:00 p.m.

Meal cards are preloaded with meal swipes and can be picked up from the Dining Services Office three days prior to your conference start date. Meal  swipes are valid for one entry during each meal period. If cards are lost, stolen, or malfunction, please contact Dining Services immediately to get a replacement card. All cards must be turned in to Dining Services or our cashier after the final meal of the conference.
